Job Information

  1.  Trafalgar Johannesburg requires a self motivated and dedicated individual for their Sectional Title  department to perform administration tasks. As an administrator candidates must have Microsoft Office and Accounting knowledge.The primary focus of the Estate Manager Assistant is to assist and support the Estate Management Team in order to ensure effective and efficient administrative operations
  2. Requirements: –
    1.  Matriculation
    2.  Computer literacy (Microsoft Office)
    3.  Own transport
    4.  Experience in Property industry
    5.  Council contact and liaison
    6.  Excellent communication skills: Verbal and Written
    7. Excellent customer service
    8. Must be available over weekends via telephone (Off site )

    Job Description:-

    a. Walk-in Stakeholder Interaction

  3. b. Handle in a professional, effective and efficient manner
  4. c. Arrange meeting schedule
  5. d. Telephonic Stakeholder Interaction  – Handle in a professional, effective and efficient manner
  6. e. E-mail Stakeholder Interaction
  7. f. Handle in a professional, effective and efficient manner all e-mail correspondence via owners, BOD, manager and service providers
  8. g. Daily communication with a keen sense of urgency and accuracy
  9. h. Financial, Invoices, Penalties and related spread sheets.
  10. i. Handle in a professional, effective and efficient manner all financial aspects received, Monthly ad-hoc schedule and Monthly contractual schedule,
  11. j. HOA orders, Petty Cash Recon, Weekly Fuel Recon, All within financial process and procedures for both Managing Agency and HOA
  12. k. General Meetings Attend meetings: Weekly Security Meeting, Bi Weekly Service Provider meeting, Monthly BOD Meeting,Annual General Meeting, Special       General, Meeting, Type and circulate minutes for all attended meetings within 48 hours
  13. l. Communication -Type in accordance with Estate Manager all Estate related correspondence and letters.
  14. m. Assist with the compilation of the newsletter
  15. n. Assist with compilation of monthly Board Pack
  16. o. Monthly (to be circulated a week prior to Board Meeting)
  17. p. Architectural – Receipt of any architectural related documentation delivered at HOA, Filing of all documentation per Erf file, Maintain all Erf file in good usable order.
  18. q. Communication with Aesthetics committee on any outstanding architectural enquiries, preparation on Erf files required for inspections, Quarterly Audit on all Architectural files, weekly filing and compliance, General – Filing – Office administration
